Translate product advantages into the institution’s problem

PPS Excellent Procurement Products resources provide a starting point for understanding the scheme and preparing an application; actual purchasing also requires review of the institution’s needs and applicable procedures. Designation or technical evidence alone does not confirm a purchase. First describe the institution’s work, use location, existing equipment and problem to solve. Connecting the technology to tasks that will change and burdens that will decrease is more helpful than a lengthy technology explanation alone.

Include conditions and observation periods in field records

If you have demonstration or use history, record the site type, installation environment, operating period, usage volume and comparison baseline. Disclose differences when before-and-after values were measured under different conditions. Consider weather, workload and operator skill. Check publication permissions for site photographs and institution names, and do not list an institution still in discussions as a delivery reference. Record planned versus completed tests, and internal assessments versus the institution’s official confirmation, separately.

Show maintenance and total costs together

Separate installation, training, consumables, communications, inspection and replacement costs from the initial purchase price. Savings claims need a baseline period, usage volume, unit prices and formulas. Label invented rates as calculation examples or estimates rather than actual results. Failure response, parts supply, integration with existing systems and information security may also be key questions for operations staff. Distinguish the confirmed supply scope from conditions still requiring agreement.

Prepare a one-page proposal with an evidence package

Summarize the problem, application scope, expected benefits, field evidence, costs and pre-adoption checks on one page, and link detailed test materials as attachments. Separately compare the product with the purchasing institution’s required specifications and statutory standards. Disclosing difficult operating environments or conditions requiring additional construction can help discussions progress. Include current contact details and product version in submitted materials, and recheck the official guidance for actual purchasing or trial-use procedures and submission channels.
